Help for Gridium Workflow Staff Users

Announcement: Workflow will be discontinued on Aug 1, 2025

Gridium will end support for Workflow on Aug 1, 2025. We recognize that this change will cause disruptions for long-time users who depend on Workflow to manage their facility operations, and we are committed to helping customers manage the transition to new work order management solutions.

We created Workflow several years ago with the goal of modernizing work order management tools for buildings. Existing solutions were often outdated, swollen with unnecessary features, and difficult for staff and occupants to use. We wanted to create something modern, streamlined, and fast.

In some measure we succeeded, but Workflow never gained the level of adoption necessary to allow us to fully invest in many of the great new features we envisioned. As it became clear that this situation was unlikely to change, we made the difficult decision to retire the product.

What happens next?

Gridium will send out a series of email announcements to admin and staff users of the software to make sure users are aware of the upcoming retirement date.

Gridium will not communicate directly with building occupants. Building staff should reach out to occupants, if applicable, once a transition plan is in place.

We have created a set of export tools for site admins to assist with downloading data from Workflow. These exports can be used to import data into a new work order management tool. Admins can access these exports by going to:

Settings (gear icon) > Export data

Customers should work with your new vendor to plan a migration. A sample migration process might include the following steps:

  1. Identify and research alternative work order management vendors.

  2. Select a replacement.

  3. Export data from Gridium Workflow and share the data with an onboarding specialist from your new vendor.

  4. Set up staff, properties, assets, and other configuration settings in the new tool.

  5. Train staff on the new tool.

  6. If applicable, set up occupant accounts and announce the transition to occupants.

  7. Switch over to the new tool.
